This release delivers an enhancement to the existing Job Plan functionality in Urbanise FM.
The enhancement will allow jobs to be backdated for the purposes of invoicing. This will allow the financial data to be accurately grouped under the job plan.
IMPORTANT: Backdated job plan capability can only be enabled by the Urbanise Support team.
Changes to existing functionality
The following changes were introduced in this update:
Job Plan Wizard
The Job Plan wizards now allows the creation of historical jobs. Where the start date is prior to today’s date, an option will be available to create backdated jobs to cater for historical invoicing.
A checkbox will be available when the ‘First jobs due’ date (start date) is before today’s date
When selecting the ‘create historical jobs’ checkbox the system will automatically create historical jobs for up to 12 months from the start date of the plan to today’s date
Historical jobs will reflect a creation date, activation date and due date according to the job plan (including any tolerance)
Since the activation date will be in the past, all historical jobs will be created with an active status
The expiry date of backdated plans can be set to be in the past to allow all jobs for the plan to be created as historical jobs
The new functionality will be available when creating new job plans in the following areas of the system:
Location job plan wizard
Asset job plan wizard
Bulk job plans from the location and asset list screens
Important notes
When updating job plan parameters or job costs, the existing functionality remains unchanged; active jobs will not be impacted
Bookings are not applicable to backdated jobs
Import Functionality
Changes have been made to the following importers to cater for the new functionality to create backdated job plans:
New location job plan importer
New asset job plan importer
Important notes
The new field in the ‘BACKDATEDJOBS’ value can be set to ‘Yes’ to trigger the creation of jobs with a date in the past. When set to ‘No’ the system will not create backdated jobs.
When updating the job plan frequency via the wizard or the importer, the system will not trigger the recreation of historical jobs.
Other Changes included in this release
The following change to assets was introduced in this release:
When adding an asset to a job, assets are only showed against a job location's area when assets exist for the area. If no assets exist for the area, all assets for the location will display as per existing functionality.
